How to Respond to Thumbtack Leads: Timing, Templates and Follow-Up

Short answer: reply in minutes if you can. As of October 2026, Thumbtack says each minute counts. If you can't get to it right away, it says to aim for within an hour (new-pro guide). Keep the reply short and end with one easy question. Thumbtack charges you for a new lead automatically, based on your lead prices (types of leads). The reply is the part you still control.

How fast to reply: Thumbtack's clocks side by side

As of October 2026, five Thumbtack help pages each set their own reply-time rule, and each rule is tied to something different (new-pro guide, messaging guide, Pro Rewards, Fair Shot policy, search results).

Thumbtack pageThe ruleWhat it's tied to
New-pro guideEach minute counts. If you can't reply right away, aim for within an hour.Catching the customer while they're motivated to hire
Messaging guideWithin four hours, 8am to 8pm. Sooner is better.Getting hired
Pro RewardsWithin an hour, 8am to 8pm local. A 10pm lead counts if answered by 9am.Your response rate. Gold tier needs 65%, Platinum 75%.
Fair Shot policyAccept and respond within four business hours, 8am to 8pm.The automatic refund
Search resultsFour hours or less on average, plus at least 4.5 stars and three reviews. One section of search results

Example: a lead that comes in at 10am and gets a reply at noon misses the one-hour response-rate window. It can still meet the refund's four business hours (Pro Rewards, Fair Shot policy). A reply can take up to 8 hours to show in your rate (Pro Rewards).

Our advice: never let a lead sit silent, even one you plan to turn down. Our response rate guide explains how the hour is counted.

Why it matters: Thumbtack says you're more likely to get hired when you're quick, and your response rate affects your rank in search results (messaging guide). Thumbtack says pros who respond the fastest may have badges like "Responds Quickly" next to their business in search results (search results). The research on speed is on our reply-speed page.

Which lead to answer first

As of October 2026, Thumbtack labels some leads "Only picked you." That means the customer hasn't contacted any other pros yet, and Thumbtack calls it a good chance for you (labels).

Then check the competition. Thumbtack shows right on the lead how many pros the customer contacted (Quality Commitment). Its Fair Shot page adds that you can see how many pros a customer messaged and if they responded, and calls these competition insights (Fair Shot policy). A customer can contact up to five pros in the first four hours of a search, though customers usually reach out to fewer (Quality Commitment).

Our advice: answer any lead labeled "Only picked you" first. Then answer the one with the fewest pros on it.

What a first reply says: the one-question rule

As of October 2026, Thumbtack's messaging guide says to read the customer's whole message first. Then make it personal: greet them by name and introduce yourself and your business (messaging guide). It also says to answer their questions and talk about their specific job. Then invite them to a next step, like a time for an estimate, and proofread (messaging guide). Thumbtack's new-pro guide adds: mention the skills and credentials that show you're qualified.

Our own rule: keep it short, mention one detail from their request, and end with one easy question.

One question is easy to answer from a phone in a parking lot. Three questions feel like homework, and homework waits. Need two small facts? Ask for them in one sentence the customer can answer in a few words.

First replies you can copy

As of October 2026, Thumbtack says to keep quick replies under 500 characters (quick replies). Every template here fits. Swap the [brackets] for your details. Any price is your own rate.

None includes a phone number or email, on purpose. One condition of Thumbtack's automatic refund is that you didn't share your personal phone or email before the customer's first reply (Fair Shot policy).

Thin request

Ask for the details that set your price, in one question.

With a price range

Only if you price this kind of job often.

Hi [Name], this is [Your name] with [Business]. A [job] like yours usually runs [your low rate] to [your high rate], depending on [what moves your price]. I can give you an exact number after a quick look. Would [day] or [day] work for that?

After hours

Hi [Name], this is [Your name] with [Business]. Got your request for [job] and didn't want you waiting until morning to hear back. I'm back at it by [time] tomorrow. Could you tell me [the one detail you need] so I can send your price first thing?

First replies by trade

Ask the question that sets your price. It's different in every trade.

The refund trap

As of October 2026, Thumbtack's Fair Shot Refund policy has an automatic refund. You get it if a customer doesn't reply to any pro they contacted within 72 hours (Fair Shot policy). Read that closely: the customer has to go quiet with every pro they contacted, not just you. Three of the policy's conditions are on you (Fair Shot policy):

That last one is the trap. Share your personal phone number or email before the customer replies, and you no longer meet that condition (policy). Don't.

Want to text? Use the Thumbtack number: Thumbtack says those texts reach the customer's phone and are saved in the app (Fair Shot policy).

For the refund, Thumbtack counts a text or a Thumbtack message from the customer as a reply. A call counts too, even one you miss, and so does the customer picking up when you call (Fair Shot policy). Refunds go to your Thumbtack balance for future leads (Fair Shot policy).

Other refund cases and their deadlines are in our lead refunds guide.

Follow up, then close it out

As of October 2026, Thumbtack's new-pro guide recommends a follow-up after about 24 to 48 hours when you don't hear back (new-pro guide). Its messaging guide says that when a customer doesn't respond right away, you can send a follow-up to re-engage them and move things forward (messaging guide).

This follow-up schedule is our advice, not a Thumbtack rule:

  1. First reply in minutes.
  2. Follow-up at 24 to 48 hours.
  3. One more short note a few days later.
  4. A polite close, then stop.

Stop sooner if they hired someone or ask you to stop. If they reply, skip the schedule and just talk to them. Until then, keep it all on Thumbtack, for the refund reason above (Fair Shot policy).

Follow-up

Hi [Name], [Your name] from [Business] again. Just checking in on your [job]. I still have [day] open. Would that day work for you?

Polite close

Hi [Name], I haven't heard back, so I'm guessing you're set or the timing changed. No problem at all. If the [job] comes back up, just reply here. Should I close this out for now?

Declining: say no fast

Some leads are a no. Wrong job, wrong area, wrong week. As of October 2026, Thumbtack says acting on each lead impacts your response time, even if you're not interested (respond-to-leads guide). Declining lets the customer know to keep looking (messaging guide).

Decline it. Silence costs you. If you're not interested, Thumbtack says to select "Can't do it" (respond-to-leads guide). If you'd rather explain why, a short note like this one works.

Decline

Hi [Name], thanks for thinking of [Business]. I'm not the right fit for this one because [outside my area / booked that week / not work I do]. I'd rather tell you now so you can keep looking today. If the job changes, want me to take another look?

Thumbtack's own reply tools

As of October 2026, Thumbtack's help pages describe these reply tools of its own.

The AI draft. Tap "Reply" on a new lead and Thumbtack has a message ready, built from the customer's request (respond-to-leads guide). Send it as is, edit it, or toggle the AI draft off in the top right corner (respond-to-leads guide). It ends with one simple question (messaging guide). Check that it's the question you need answered.

Quick replies. Save up to 100, each under 500 characters. In the app, tap and hold a sent message, then tap "Save as template" (quick replies). Save the ones that get better responses (messaging guide). Easy start: send one of the templates above once, then save it the same way.

Front Desk. This is Thumbtack's own subscription, at $60 to $500 a month depending on the plan (Front Desk page). It sends the same first message every time you get a lead, and responds within two minutes on average (Front Desk page). Its team uses the Thumbtack messenger and won't make phone calls for you (Front Desk page). Our side-by-side: SwiftReplAI vs Front Desk.

FAQ

What should your first message on Thumbtack say?

As of October 2026, Thumbtack says to make it personal, like greeting the customer by name (messaging guide). It also says to answer their questions and give a next step (messaging guide). Our advice: keep it short and end with one easy question.

Should you put your price in the first message?

If the request has the details and you price that job often, give a range at your own rate. If not, ask for the details that set the price in one easy question. Thumbtack's messaging guide says to respond to the customer's questions, so if they asked about price, answer it (messaging guide).

Why don't Thumbtack leads respond?

Often you won't know. A customer can contact up to five pros in the first four hours of a search, though customers usually reach out to fewer (Quality Commitment). You can see how many right on the lead (Quality Commitment). Send a follow-up after about 24 to 48 hours, as Thumbtack recommends (new-pro guide).

Can you get a refund when a Thumbtack lead never replies?

Thumbtack's automatic refund needs the customer to go silent with every pro they contacted, not just you. Thumbtack refunds you automatically when the customer doesn't reply to any pro they contacted within 72 hours (Fair Shot policy). You also must have replied within four business hours, through Thumbtack, without sharing your personal phone or email before the customer's first reply (Fair Shot policy). The refund goes to your Thumbtack balance for future leads (Fair Shot policy).

Does declining a lead count toward your response time?

As of October 2026, Thumbtack says acting on each lead impacts your response time, even if you're not interested. If you don't want the job, select "Can't do it" so the customer isn't left waiting (respond-to-leads guide).

Should you reply to Thumbtack leads at night?

You don't have to for your response rate. Thumbtack counts 8am to 8pm, so a 10pm lead still counts if you answer by 9am (Pro Rewards). But Thumbtack also says a quick reply might catch the customer online while they're motivated to hire (new-pro guide). If you can send a short note at night, do.
